Role Description:

Working with our Surface Ships line of business support the Hunter Class Frigate Program, the Project Administrator plays a critical role in supporting the daily operations of the Production Engineering Support (PES) team. This involves a variety of administrative tasks, from managing the PES calendar and inbox to ensuring the team has the necessary resources, training, and tools to perform their duties effectively. The Project Administrator will assist in coordinating meetings, maintaining team communication channels, updating process documents, and supporting various project tasks as needed.

Core Duties:

  • Manage shared inbox, coordinate team communications, distribute weekly work calendars, and maintain accurate team contact records.
  • Administer and maintain Jira, including issue management, user access, data accuracy, documentation updates, and process improvement activities.
  • Maintain team documentation, process instructions, organisational records, knowledge management resources, and onboarding materials to ensure information remains current and accessible.
  • Coordinate office resources and equipment, including stationery management, purchase requests, new starter setups, and ordering of required team resources.
  • Collate, maintain, and update operational reports and performance data, ensuring accuracy and timely delivery of business reporting requirements.
  • Coordinate team meetings, planning days, and other events, including scheduling, preparing meeting materials, recording actions, and tracking follow-up activities.
  • Support training and development activities by maintaining training records, coordinating learning requirements, and managing knowledge transfer documentation.
  • Record and maintain workplace compliance information, including hazard reporting and other administrative records as required.
  • Contribute to the continuous improvement of team processes, systems, and administrative practices.
  • Undertake other administrative and team support duties as required

About You:

  • Previous experience in a similar role desired
  • The ability to work autonomously as well as part of a team
  • Excellent communication and stakeholder engagement skills
  • Strong attention to detail with a focus on data accuracy and process compliance
  • The ability to prioritise and work effectively under tight deadlines whilst demonstrating the ability to multi-task and have effective time management skills
  • People focused with a high level of written and oral communication skills
  • Proficiency in Microsoft Office Suite and experience using business systems such as Jira, SharePoint, or similar platforms is desirable
  • As a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances
