Role Description:
Working with our Aerospace line of business supporting the Lead In Fighter (LIF) Program, the Business Support Officer plays a critical role in supporting the daily operations of the team ensuring efficient daily operations are maintained. In this varied role, you’ll coordinate meetings and travel, support events and visitors, manage purchasing and invoicing, maintain documentation and team systems, and assist with reports, presentations, and correspondence. You’ll build strong relationships with stakeholders, support onboarding activities, drive process improvements, and ensure confidential information is handled with discretion, while providing flexible support across the wider administrative team when needed.
Core Duties:
- Coordinate meetings, book and assist with travel, events, and visitor activities to support a fast-paced business environment.
- Provide comprehensive administrative and business support to the team, ensuring the efficient management of documentation, correspondence, reports and presentations, while coordinating key operational processes including payroll and leave administration, fleet management, authorisation systems (EDADS), and uniform administration.
- Manage purchasing, invoicing, expense reconciliation, and office resources to ensure smooth operations.
- Maintain document control systems, team sites, and records while supporting process improvements and business efficiencies.
- Build strong stakeholder relationships and deliver exceptional customer service across the organisation.
- Support onboarding activities, business projects, and broader team administration, including leave cover as required.
- Handle confidential information with professionalism and discretion.
- Contribute flexibly to business needs, including occasional out-of-hours work and travel assistance
- Provide leave cover and support to other administration team members when required
- Support systems, procedures and controls that improve efficiency and consistency
- Manage office supplies, stationery and consumables
- Undertake other administrative and team support duties as required
About You:
- Previous experience in a similar role (desirable)
- Strong organisational and time management skills.
- Excellent communication and stakeholder engagement abilities.
- Proactive, adaptable, and solutions-focused mindset.
- High attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional, discreet, and trustworthy with confidential information.
- Team-oriented with a customer-focused approach
- Proficiency in Microsoft Office Suite and experience using business systems such as Jira, SharePoint, or similar platforms is desirable
- As a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances
- International Traffic in Arms Regulations (ITAR) are applicable and as such, your nationality may be a factor in determining your suitability for this role
