Job Description:
This role provides essential administrative support to the Export Control Team, ensuring the accurate management, tracking, and storage of documentation required for compliance with UK and international export control regulations. You will help maintain organised records, support document management processes, and coordinate routine activities, enabling Export Control specialists to focus on higher-level compliance and regulatory work while ensuring all business and regulatory requirements are effectively met. You will have the opportunity to be involved in more advanced work and will be encouraged to develop your Export Control knowledge and skills as you progress within the role.
Core duties:
- Providing administrative support to the Export Control team to assist with the management of export control documentation and records
- Maintaining organised electronic records, ensuring documents are stored correctly and easily accessible for audits and compliance
- Supporting the preparation, collation and submission of documentation required for export licence applications and related approvals
- Monitoring team inboxes and distributing queries or documentation to the appropriate team members
- Assisting in tracking export licence statuses, expiry dates and related administrative updates to ensure records remain current
- Coordinating meetings, taking meeting minutes, maintaining team documentation and supporting general team administration activities
- Collaborating with internal stakeholders to gather required information
- Drafting export control training materials and communications for wider Export Control team review and approval
Essential Skills:
- Experience handling records, data entry and document management tasks accurately whilst maintaining confidentiality
- Excellent stakeholder management and communication skills
- Willingness to learn and develop knowledge of export control processes and compliance requirements
- Proficient with Microsoft Office applications
